Using Invoicing

The Invoicing tool enables you to request payment from customers by sending them an invoice. Customers receive the invoice by email and click a link to view the invoice on Authorize.Net's website. The Invoice email sent to your customer is pre-populated with information that you enter when you create the invoice using this page. Using the invoice, the customer can pay with their credit card or bank account (if you have eCheck enabled for your account) using our hosted payment form.

Creating an Invoice

Click the + Create Invoice link and enter the following information.

 

Field Name Description
Bill To Name of the customer.
Email Email address of the customer.
Invoice Number Number of this invoice. You can use any numbering system that you want, or if you leave it blank, we will create a number for you.
Due Date Date that the payment is due.
Description A description of the invoice.
Item ID The identification number of the item. You can use any numbering system that you want.
Item Name Name of the item.
Quantity Number of items that the customer has bought.
Price (USD) Price for a single item.
Discount Discount percentage, if any.
Shipping Total shipping cost for the invoice. If there is tax on the shipping charge, check the Tax on Shipping box.
Tax Tax rate percentage.

 

Click + Add Item to add more items, up to a maximum of 30 items.

 

To allow your customer to provide a partial payment, check the box next to Allow Partial Payments and enter a minimum payment amount.

 

Finishing the Invoice

 

To save your progress on the invoice without sending it to the customer, click the Save As Draft button.

 

To send the invoice to the customer, click Send.

 

When the invoice is created, you are returned to the Invoicing page and your invoice is shown in the table of your invoices. If the invoice has been saved but not sent, you can click Send or Cancel in the Action column of table of your invoices.

Filtering the List of Invoices by Status

Step 1. Select Status form the left drop-down menu on the Invoicing page.

 

Step 2. In the right drop-down menu, you can select one of the following statuses:

 

 

Step 3. To select and display an invoice, click its invoice number.

Searching for an Invoice by Number

Step 1. Select Invoice Number from the drop-down menu on the Invoicing page.

 

Step 2. In the search box, enter the exact invoice number and click the magnifying glass icon.

 

Step 3. To select an invoice, click its invoice number.

Editing an Invoice

To edit the invoice, click the invoice number to display it and then click the Edit button. Before editing consider the following points.

 

 

Adjusting the Invoice Settings

 

To adjust the "look and feel" of your invoices, click the Settings link in the upper-right hand of the invoice. The Invoice Setting page contains an example of an invoice on the left side, and adjustable settings on the right. As you adjust the settings, they are added to the example so that you can visually review them. The following settings are supported:

 

 

 

 

 

 

Other Settings

 

By default, email reminders are sent to customers with unpaid invoices 5 days before and 1 day before the due date. You can opt out by unchecking the box in this section.
